Form Builder Product Feature

Successful organizations depend on continuous feedback, from office departments, regional teams, local staff, to external vendors. While some clients had requested our team to build and integrate customized forms into the platform, others had simply pasted third-party online form URLs in messages. A bottleneck occurred where each form would require a week and a half to build and test, preventing our development team from completing other tasks. In addition, multiple data sources also caused a decentralized effect of streamlining issue resolution across locations.

My Role:

  • Launched Intelocate’s Form Builder to centralize and integrate responses into issue resolution.

  • Conducted user research to understand pain points and mapped out experience journeys.

  • Gathered requirements, generated product requirements document, and managed epics.

  • Worked collaboratively with developers and led daily stand-up meetings, sprint, sprint reviews, and retrospectives.

  • Created prototypes and reiterated product design based on user feedback.

Results:

  • Empowered users to build their own online forms.

  • 100% of users stopped using third-party online form builders.

  • Reduced from an average of 8 days to 4 minutes in building an online form.

  • Within 3 months:

    • 69% adoption rate.

    • 28 forms were created.

    • 1,233 forms were submitted.

Implementing Agile and Product Roadmap

When I joined Intelocate in February 2018, I realized there wasn’t a structured and efficient process to prioritize the backlog and manage projects. There wasn’t a proper product roadmap to plan how Intelocate would meet different business objectives over time. Scope-creep would often occur in different releases, all while under the pressure of meeting the original release date. Without a lean, Agile framework, features were over or under delivered and the overall quality of delivery diminished.

My Role:

  • Streamlined the product management process and collaborated with key stakeholders to map out our product roadmap.

  • Worked collaboratively with developers to understand challenges and roadblocks of their existing practice and implemented the Scrum framework for Agile development that we still follow today.

  • Developed product requirements document (PRD) using Confluence to outline product’s purpose, features, functionalities, and behaviour.

  • To improve transparency, I created a Scrum board using JIRA that is used by 10 people including the development team, QA, and sales team. I communicated bi-weekly release product contents by leading sprint demos and developing release notes.

  • Responsible for forecasting, adjusting priorities, and grooming the product backlog.

Results:

  • A clear product roadmap to communicate and map out the vision and direction of our product to internal teams and external stakeholders.

  • Implemented a Scrum board adopted by a team of 10 people.

  • Delivered over 400 completed tasks, an increase of 77%, within a year.

  • Developed PRDs to provide a clear direction of product requirements and delivery.

  • Led bi-weekly sprint demos and develop product release notes.

  • Facilitated all Scrum events and coach individuals in Agile processes and tools.

Diversity Self-ID Product Launch

Launched Diversity Self-ID platform for the Office of the Vice-President, Equity and Community Inclusion. It is a survey administrative platform enabling the university to track its commitment to inclusion, measure its progress, and make informed plans for future actions.

My Role:

  • Documented business and product requirements, created wireframes, outlined business process flow using Microsoft Visio. Worked collaboratively and had daily stand-up meetings with the development team.

  • Created project plans, release planning, and owned software development lifecycle from initiation to delivery.

  • Developed deep relationships with key stakeholders to provide project updates.

  • Collaborated with training, client support, and communications teams to lead release planning and change management.

Results:

  • As of March 1, 2015 and March 1, 2016:

    • Close to 6,000 Diversity Self-ID surveys completed.

    • 83% response rate of all employees.

  • Launched product accurately and quickly.

  • Shaped university’s approach to digital product and services.
